The employee will be required to carry out the following responsibilities:
1. Manage the reception area including visitors and answering phone calls and inquiries.
2. Follow requests and quotation requests submitted through the website and through the company general email as well as applications such as Housecall or any software.
3. Manage Customer’s contact information and follow up on the service then follow up on the reviews and feedback.
4. Register the company in Vendors, developers, investors,property managers, architects’ offices, relatotrs,,,etc
5. Handle the company information info@email and inform the responsible staff of any requests related to his/her area of work.
6. Follow up on administrative issues/needs with internal and external parties.
7. Weekly updating and categorizing QuickBooks expenses.
8. Update the invoices and payments on the company accounting software (QuickBooks)
9. Schedule CEO appointments and manage his schedule
10. Support the technical team in preparing tenders, and presentations, making copies, and putting together all requirements.
11. Supports the technical team in making sure all invoice payments are paid on time and follows up with clients to ensure any company invoices issues are resolved so that the company gets paid in a timely manner.
12. Ability to find information to be able to support the technical team in finding resources and information.
13. Manage administrative paperwork in county/city or state when needed such as permits.
14. Manage the subcontractor’s contact information and fill in W9-COI in QuickBooks.
15. Manage the Payroll QuickBooks. W2 and 1099.
16. Prepare reports as per the CEO and management requests
17. Responsible for preparing minutes of the staff weekly meetings on a timely manner and following up the tasks.
18. Follow up on any needed updates on the company website and all social media outlets.
19- apply for the permits and schedule Inspections.
